Onboarding Procedures

Follow these steps for onboarding

Depending on your plan, you may see the various steps in the checklist in your Status Overview page:

Sign Quote

Sign Quote - We will either share a quote with you via email or right in your portal. Make sure to sign it so that we can get started!

Add Payment Method

Add Payment Method - In the BlueSpark Portal, click on your picture or initials in the top right hand corner of the screen. Then click Settings > Payment methods > Add a payment method.

You can:

Connect a credit or debit card.

Connect your bank account using Plaid.

Connect your bank account manually.

This payment method will be used for all of your invoices going forward.

Add Us to Your QBO Account

Add Us to Your QBO Account:

1) Sign in to QuickBooks Online (QBO) in the browser

2) Select the Settings ⚙️ icon then Manage users.

3) Select Accounting firms.

4) Select Invite.

5) Enter DKelly@BlueSparkSolution.com, then select Save.

Schedule Onboarding Call

Schedule Onboarding Call - Use the Book Time with Your Account Manager page to schedule your onboarding call. Don’t see the page? Email us at Support@BlueSparkSolution.com, and we will send you a link to schedule your call.

Submit Documents (Bank Statements)

Submit Documents (Bank Statements) - To get started with your account, we will need all bank, credit card, and loan statements for the period you would like us to work on. In practice, this usually means that we need all statements from this year.

To upload your files in the portal, go to Files, then click + New.

From here you can:

Create a folder.

Upload a file.

Upload a folder.

Add a link.

*Please create a new folder for each statement type, and then upload all of the statements for the period.

Complete Cleanup

Complete Clean up - This step is all up to us! Once we get your statements, we will complete your clean up for the time period you requested. We might reach out to you with a few questions along the way, but there is nothing you need to do here.

Review Chart of Accounts

Review Chart of Accounts - Depending on your company and what we determine in the onboarding call, we may schedule a meeting with you to review your Chart of Accounts. If this is the case, we will reach out to you with a booking link and ask you to pick a time that works well for you.

Connect Bank Accounts

Connect Bank Accounts - In this step, we need to connect your online business banking accounts to QuickBooks Online. The easiest way to do this is to book a meeting with your Account Manager using the Book Time with Your Account Manager page.

Connect Credit Cards

Connect Credit Cards - In this step, we need to connect your online business credit card accounts to QuickBooks Online. The easiest way to do this is to book a meeting with your Account Manager using the Book Time with Your Account Manager page.

Review Invoice Templates

Review Invoice Templates - Depending on your company, we may create invoice templates for you in QuickBooks Online. If this is the case, we will want to review the invoice templates with you before they are used. The easiest way to do this is to book a meeting with your Account Manager using the Book Time with Your Account Manager page.

Review AP Process

Review AP Process - This step refers to your plan for dealing with Accounts Payable, or money that your company owes to others. We often process Accounts Payable for our clients by entering their bills, and we can even schedule bill payments.

If this step is missing on your checklist, book a meeting with your Account Manager using the Book Time with Your Account Manager page.

Review AR Process

Review AR Process - This step refers to your plan for dealing with Accounts Receivable, or money that your company receives from others. We often issue invoices for our clients and send them AR reports.

Review Financial Statements

Review Financial Statements - This is the final step in the checklist! Once we have done any necessary cleanups and finished setting up your account, we will produce a monthly financial statement and share it with you in the BlueSpark Portal. It is a good idea to review this financial statement in detail and ask your Account Manager any questions you may have about it. If something looks off to you in the financial statement, we might need to adjust how it is categorized.
